How to use the trip budget calculator

  1. Set the trip shape. Enter the number of days, the nights you need a bed, and how many people share the costs.
  2. Price the big items first. Look up real lodging and flights for your dates, since those two lines usually move the total the most.
  3. Estimate daily spending. Food and activities are per person per day. Local transport is per day for the whole group.
  4. Add a buffer. A buffer covers the things nobody plans for, like a missed connection, a rainy day taxi, or a dinner you did not expect.
  5. Copy the summary. Paste it into a shared note or a message so everyone agrees on the number before anyone books.

How the math works

The calculator uses simple, visible math, so you can check it by hand:

  • Lodging = nights x lodging per night
  • Food = days x travelers x food per person per day
  • Activities = days x travelers x activities per person per day
  • Local transport = days x transport per day
  • Flights = travelers x flights per person
  • Total = (sum of the lines above) x (1 + buffer percent / 100)

Per person is the total divided by travelers. Per day is the total divided by days. Results are rounded to whole units of your currency.

Where to find your own numbers

  • Lodging: search your real dates, since prices change a lot by season and around holidays. Include taxes and cleaning fees in the nightly number.
  • Food: look at the menus of a few places you would actually eat at, then pick a typical day: one simple meal, one sit down meal, and snacks.
  • Activities: list the two or three paid things you care about most and divide their cost across the trip.
  • Local transport: decide early between transit, taxis, and a rental car, since a car adds parking and fuel.
  • Flights: include checked bags and seat fees if you will pay them.

What changes the total most

Lodging and flights usually dominate. Changing the number of nights, staying one neighborhood further out, or moving the dates by a few days often saves more than cutting meals. Daily spending adds up quietly, so a realistic food number matters more than an optimistic one. If the total feels high, try fewer bases: every move between hotels costs a travel day and often a transfer.

Frequently asked questions

How much buffer should I add to a travel budget?

A buffer of 10 to 15 percent is a common starting point. Use more for long trips, trips with several bases, or places where prices are hard to check ahead of time, and less for short trips where most costs are already booked.

Should I budget per person or for the whole group?

Both. Shared costs like lodging and a rental car are easier to price for the group, while food, tickets, and flights are easier per person. The calculator mixes them correctly and shows the total, the cost per person, and the cost per day.

How many nights should I enter?

Usually the number of days minus one. Enter more if you arrive late at night and need a bed on day one, or fewer if you take an overnight train or flight.

Does the calculator save or send my numbers?

No. The math runs in your browser and nothing you type is sent or stored. Use Copy summary to keep a copy of your results.
